Your reservation

Availability
Rooms and prices offered by the hotel are subject to availability and the discretion of Butterfly Hotels. A limited number of suitable rooms may be allocated to individual rates, packages or promotions and, when these allocations are taken up, remaining available rooms may be offered to the guest at a higher price.

Rates
All rates quoted are subject to availability and inclusive of VAT at the current rate, unless otherwise stated. Rates quoted cannot be used in conjunction with any other discount, offer or promotion. Supplements may be applied automatically for a single and family room occupancy.

Special Offers
Offer is subject to availability and based on 2 adults sharing a twin or double room. A limited number of rooms have been allocated to the offer, which cannot be used in conjunction with any other discount, offer or promotion. Once the allocated number of discounted rooms has been sold an alternative rate may be offered. Valid for new bookings only. Non refundable and full prepayment is required at the time of booking when booking directly with the hotel. Dinner allocation to be taken in the main hotel restaurant.

Guarantee of reservation
All reservations must be guaranteed at the time of booking. This must be either a valid credit card number, prepaid deposit or a current agreement for account to company. A booking will not be taken if the guest has neither of these.
If account to company has been requested, a third party fax must be received by the hotel before the guest arrival, failure to do so will result in the guest being asked to pay on arrival.

Deposits and Cancellation: Special Event or Activity Breaks
A deposit of £50.00 per person is required to secure your reservation. This can be paid by credit card or cheque made payable to the designated hotel. In the event of a cancellation deposits are fully refundable if written confirmation of your cancellation is received 60 days prior to the date of arrival. After this time deposits will only be refunded if we are able to resell your accommodation.

Amendments
Reservations can be amended directly with the hotel. The confirmation given at time of booking can be used to access the reservation should an amendment or cancellation be required. There will not be a charge for amending a reservation, however, if allocation of original room rate booked have been taken up – the hotel will offer an alternative rate. If the client wishes to cancel the booking at this point, no charge will be made.

Cancellation Time
Standard Reservations may be cancelled by 12 noon on the day of arrival at all properties except Express by Holiday Inn where the cancellation time is 4pm. If a reservation is cancelled after this time, one nights’ accommodation will be charged.

Meal Arrangements
Meals are not included in the price unless specified. Breakfast inclusive breaks will include a full cooked breakfast that has a selection of hot and cold foods including healthy vegetarian options. Any dinner inclusive breaks include a three-course table d'hote.

Special Requests
Whilst every effort will be made to carry out special requests, this unfortunately cannot always be guaranteed. E.g. non-smoking or smoking rooms can be requested but not always guaranteed.

Disabled Facilities
Butterfly Hotels make their best efforts to offer facilities for the disabled. Please check directly with your chosen hotel before booking.

Children

  • Children under the age of 16 must be accompanied by a responsible adult to ensure the child’s behaviour is appropriate for other guests in hotel.
  • Children may be excluded from certain events or promotions where deemed unsuitable or inappropriate. 
  • Clients are required to read and follow the conditions of used displayed at such facilities. At selected hotels, up to 2 children under the age of 12 can be accommodated free of charge when sharing with 2 adults, this does not apply to interconnecting rooms.
  • Availability of family rooms is limited and portable beds may be utilised where free accommodation is required.
  • Payment for any children’s meals taken should be made to the hotel directly on departure. Children in their own room will pay 75% of any full price charge at time of booking.
  • Children aged 6-12 years will be charged £5.00 for breakfast, £15 breakfast and three course house menu. Meals taken by children from full price menu will be charge at full price, with exception of breakfast.
  • If there is only one adult in the room with a child or children then a supplement will apply; again this is dependent on the individual hotel.

    Changes to guest bookings
    It is unlikely that the hotel will have to change or cancel a reservation; however, Butterfly Hotels reserve the right to do so.

    However, the guest has the right to:

  • Accept the changed arrangements as notified;
  • Make alternative arrangements with Butterfly Hotels;
  • Cancel the reservation and receive a full refund of any monies paid in respect of the reservation.

    Insurance
    Clients are recommended to have insurance to cover cancellation, curtailment, and loss of baggage, personal effects and money.

    YOUR STAY WITH US

    Check-in Time
    Check-in time at all properties will be 14:00 hrs. You may register before this time and if your room is ready beforehand you may be permitted access.

    Check-out Time
    Check-out time at our Ramada properties will be 12 noon and 11 o'clock at all other properties. Guests wishing to depart later than the stated check-out time may be required to pay a late check-out charge.

    Early Departure
    If a guest is in residence at the hotel and wishes to leave earlier than date stated on original booking, they must inform reception by 11:00 hrs on the required day. Failure to do so will result in one night’s accommodation being charged.

    Payments
    All charges for reservations must be settled by you on departure with a valid payment method. Butterfly Hotels accept the following methods of payment:

    • Cash
    • Cheques – with a valid guarantee card
    • Company Cheques are not accepted without prior clearance
    • Switch
    • Visa
    • MasterCard
    • American Express
    • Diners Club
    • Pre-Paid Deposit
    • Payment on Account (see below)

    Account to Company
    Butterfly Hotels will accept account to company if the necessary credit application process has been carried out. A fax or letter or e-mail authorising supplementary charges must be sent to the hotel clearly stating what is to be settled by the company or the client. This must be received at the hotel, by the date of guest arrival.

    Car Parking
    This is provided free of charge to residents, unless stated. Butterfly Hotels will not accept responsibility for damage to or for the theft from, or for the theft of vehicles parked on hotel property.

    Incidentals / Added Extras and Activities/ External Purchases
    Any additional services, treatments and activities undertaken at the hotels will be charged for as taken. Other added extras including telephone calls, drinks etc. will automatically be added to your bill at the hotel and must be settled prior to departure. No wines, beers or food may be brought into the hotel or its grounds by clients, their guests or representatives for the consumption or sale on the premises without the written consent of the hotel. A charge may be levied by the hotel for allowing this provision.

    Data Protection
    With permission, contact information may be used to supply information about our hotel and send to occasional promotional material, such as information about special offers which that find valuable. Guests may opt out of receiving future mailings.

    Pets at Butterfly Hotels
    We do not accept pets at Butterfly Hotels except for seeing dogs which are free of charge.

    Liability
    For the avoidance of doubt, nothing in these terms and conditions shall operate or exclude or limit the hotel’s liability for the death or personal injury caused by negligence of the hotel or its employees, servants or agents to attempt to exclude or limit the Company’s liability in any manner which would be unlawful. Clients are responsible for any damage caused to the allocated rooms, furnishings, utensils and equipment in the by any act, omission, default or neglect of the clients, their guests or sub-contractors and will pay to the hotel the amount required to make good or remedy such damage.

    Behaviour
    The hotel reserves the right to judge acceptable levels of noise or behaviour of clients, guests, or representatives, who must take all steps for corrective action as requested by the hotel. Failure to comply with management requests, the hotel may terminate the booking or stop any event without being liable for any refund or compensation.

    Web-site Accuracy
    Amendments and updates are frequently made to all areas of the butterflyhotels.co.uk web site and every effort is made to ensure that all the information published is correct.

    Recording of Telephone Calls
    To help us continually improve our services, we may monitor and/or record your telephone calls with us.
